Onboarding

A client portal for onboarding new clients

Your client signs in with a code by email and works through every step with ease, from form to signature. Everything they supply lands straight in the file.

How the client portal works

Your client receives an email from your firm with a six-digit login code that is valid for fifteen minutes. The link in the email fills in the code. Once signed in, they see which tasks are open for them.

You send a single action, or bundle the onboarding steps into a procedure. It puts them in a fixed order, for example the UBO declaration, the ID document and finally the engagement letter. You pick the contact and the deadline, and your client works through the steps one by one.

In the portal your client fills in forms and questionnaires. They upload documents, up to twenty files at a time, verify their identity with an ID document and a selfie, and sign, for example an engagement letter from the contract builder.

Afterwards they receive a confirmation of receipt, and they can download a signed document. What they fill in and upload lands in the case file with a date and counts straight towards the completeness overview, ready for screening and review.

The client portal and the Wwft

Under Article 4(1) Wwft you identify the client and the ultimate beneficial owner and verify their identity before the business relationship starts. Much of that data comes from the client. In the portal they supply it, so you can complete the review before the engagement begins.

Whatever the client fills in, uploads or signs lands in the case file with a date. After onboarding everything is on record there, from the forms and documents to the outcome of the identity verification and the signed engagement letter with its signing certificate. That is how you keep the records Article 33 Wwft asks for.
